SAMPLE APPROVAL
A sample review that produces a usable specification.
Use a physical sample and a written checklist together. The aim is to agree what will be supplied and what evidence supports any claim.
Record dimensions and installation
Measure panels, straps and attachments in millimetres. For a seat cover, note headrest configuration and seat-belt access. For a boot liner, record floor width at the wheel arches, depth and coverage of side walls or seat backs. Keep photographs of the fitted sample with the vehicle or test setup identified.
Compare materials and cleaning claims
List surface fabric, backing, padding, seams and hardware. Request the proposed cleaning method and check a sample after cleaning under those instructions. Ask which exact model, component and conditions support water-resistance, colourfastness or durability claims. Do not transfer a fabric-level claim to the finished product without evidence.
Check the variant and component mix
For sets, build a matrix of size, colour and matching components. Record quantities per combination and how each variation is labelled. Ask whether minimum quantities apply per product, component, size or colour rather than only to the combined order.
Measure the packed product
Record retail-pack dimensions, gross weight, units per carton and master-carton dimensions. Check barcode position, carton marks, care instructions and the retailer’s packaging requirements. Use packed measurements, not unfolded product dimensions, for freight and warehouse planning.
Keep an approval reference
Save the sample identifier, dated specification, logo artwork, colour references and packaging approval. Agree inspection points and tolerances, including the process for recording discrepancies. A change to material, hardware or artwork should be reviewed before production continues.
Compare a complete quotation
Use the same currency, variant quantities, Incoterm and destination for supplier comparisons. Separate sample charges, setup, unit price, packaging, freight, import costs and local handling. Confirm the payment stages and when the quoted production lead time starts.
